About the organisation
The Heathrow Multi Faith Chaplaincy charity CIO, based at the airport, provides spiritual, emotional, and practical care for passengers and staff from all backgrounds, supporting their life journeys. With over fifty years of experience, the Chaplaincy team represents six major world religions—Buddhist, Christian, Hindu, Jewish, Muslim, and Sikh—and operates across all terminals, interacting with a diverse range of people in various situations.
What we do:
Provide care and support for passengers and staff
Work with airport management for the good of the airport and its communities
Provide faith specific activities for staff and passengers
Take Colleague Memorial services either in St George’s Chapel or the Garden of Remembrance
Provide on-line faith specific short talks on subjects like coping with anxiety, loss, peace and purpose
About the role
With an increased budget of £250k, Heathrow Multi Faith Chaplaincy is expecting to expand in 2025. We are looking to appoint a person of faith with financial expertise to join our Board of Trustees as Treasurer. This is a chance to be part of an exciting time of development in chaplaincy at Heathrow.
The Board of Trustees meets online for two hours five times a year and has an additional in-person away day. Between meetings there may be emails to read and respond to. The treasurer is responsible for presenting management accounts on a quarterly basis, an annual budget (~ £250k) and overseeing two payment runs a month. Payroll is outsourced.
Responsibilities of a Treasurer (NB this is not an exhaustive list):
Regular:
Maintain (set up as necessary) bookkeeping system including filing of invoices, receipts, expenses claims etc.
Have oversight of income streams and monitor cash flow.
Make payments in line with budget lines ensuring proper authorisation(s). Normally two payment runs a month.
Maintain records of transactions,
Carry out financial decisions made by trustees
Review monthly management accounts, reporting as needed
Annual:
Work with Head of HMFC to prepare draft budgets
Liaise with auditor over audit
Sit on renumeration subgroup
Prepare annual accounts for submission to Trustees, AGM and ensure comply necessary standards working with the auditor.
Submit approved annual report and accounts to required bodies in a timely manner.
Update the Charity Commission over any appointment of new Trustees.
Governance:
Attend Trustee meetings, producing accounts and reports in advance as required. (up to 6 times a year, including annual away day, other meetings are normally online for approx. 2 hours)
Set up, review and bring to Trustees financial policies for the better accountability of the charity: including expenses policy, reserves policy, management of financial risks, etc.
Advise the Trustees on appointment of auditor and regular review.
Partnerships:
Work closely with Head of HMFC Head, the Team Administrator and the Chair of Trustees to manage income and expenditure.
Maintain overview of payroll, tax, NIC, Pension in partnership with any payroll agency, keeping them informed of any changes to renumeration.
Be the first point of contact with CAF Bank account, including overseeing any changes to signatories
Liaise with Head of HMFC recover for Treasurer functions when absence is planned.
Responsibilities of a Trustee:
Commit to supporting Multi-Faith Chaplaincy at Heathrow in line with HMFC’s vision, engaging with the team, and visiting occasionally to understand its practice.
Ensure HMFC operates for public benefit by understanding its purpose, contributing to its strategy, and aligning activities with its mission.
Ensure HMFC's compliance by adhering to its Constitution and relevant charity laws.
Always act in HMFC’s best interests by making informed decisions, avoiding conflicts of interest, and ensuring no unauthorised personal benefits.
Manage HMFC’s resources responsibly by ensuring assets support its purpose, mitigating risks, maintaining financial safeguards, and adhering to spending restrictions.
Act with care and skill by using your expertise, participating actively in meetings, contributing to board development, and maintaining regular attendance.
Ensure HMFC’s accountability by meeting legal reporting requirements, demonstrating good governance, maintaining effective oversight, and ensuring internal accountability within the team.
Our ideal candidate
Financially competent: experienced in double entry bookkeeping, able to produce management accounts, budgets, financial reports, annual accounts
Computer literacy: able to use accounting software packages, to do online banking, proficient in Microsoft Excel and Word.
Charity Governance: have an understanding of charity law and guidance in relation to finance and CIOs, including relevant reporting. Experience of serving on Charity Trustee board, attending meetings, and producing and speaking to financial reports, budgets accounts. Demonstrate sympathy with the mission, aims, and ethos of the charity.
Communication skills: Able to convey financial matters clearly and concisely to others so that they understand and can make informed decisions. Able to maintain appropriate confidentiality.
